Privacy policy
Last updated 4 November 2026. Questions: contact@opencallsboard.com
This policy explains what Open Calls Board (“we”), which runs Open Calls Board, collects about you, why, and what you can do about it.
What we collect
- Account details: your email address and a securely hashed version of your password (we never store the password itself).
- What you save on the site: your shortlist, the progress you mark on it, and your email-alert settings (fields and keywords).
- Subscription details: if paid plans are offered in future and you subscribe, your plan and its status. Card details would be handled by Stripe and never reach our servers.
- Text you give our AI features (when available): the paper description you paste for matching or cover letters. We use it only to answer that request and don't keep it.
- Technical data: your IP address, used briefly to prevent abuse (e.g. limiting login attempts), and standard server logs.
Cookies
We use one cookie, which keeps you logged in. We don't use advertising or tracking cookies.
Who processes your data for us
- Stripe: payments and billing.
- Anthropic: the Claude AI model behind paper matching and cover letters, when those features are switched on.
- Resend: sending emails (confirmations, password resets, weekly alerts).
- Render: hosting the website and its database.
Each processes data only to provide its service to us. Some are based outside your country, including in the United States.
Why we use your data (legal basis)
To provide the service you signed up for (contract), to keep the site secure (legitimate interest), and to send weekly alerts only if you turn them on (consent, which you can withdraw at any time).
How long we keep it
For as long as you have an account. When you delete your account, we delete your account details, shortlist and alert settings immediately; payment records kept by Stripe follow Stripe's legal retention rules.
Your rights
You can see and change your data on your account page, turn off alerts with one click from any alert email, and delete your account at any time from the account page. You can also ask us for a copy of your data or to correct it by emailing contact@opencallsboard.com. If you are in the EU or UK, you may complain to your data protection authority.
Children
The site is meant for researchers and students aged 16 or over.
Changes
If we change this policy in a way that matters, we'll tell account holders by email before it takes effect.
